Your role will include planning and guiding this lecture program to include assisting with nominations of lecturers, selecting tour topics, planning for virtual and in-person presentations, organizing the schedule, coordinating with travel agencies to arrange international travel and assisting the lecturers with their needs. As you begin to take on more responsibilities and gain knowledge of this program, you will have an opportunity to enhance and develop this role. This is a manager-in-training role with an expectation to move into a full management position within one year. THE IMPACT YOU WILL MAKE IN THIS ROLE Oversee the Distinguished Lecturer (DL) Program, working closely with committees, subcommittees, volunteers and distinguished lecturers (highly regarded experts in their field). Organize speaker engagements across the globe for live and virtual events to include all logistics such as verifying presentation site, checking lecturers' travel availability, determining travel routes, adjusting for cancellations, and compiling final tour schedule. Coordinate with committee members to solicit speaker nominations, gather submissions and track final selection, as well as gathering lecturers' presentation critique, any reference checks of lecturers and circulate feedback to committee members for comment. Monitor all travel arrangements for lecturers' schedules, i.e., ground, air, train, & hotel to include assisting with visas and other travel issues. Review financials for assigned programs including budget preparation, review of expense reports, wire transfers and any necessary billing. Mentor two staff members while also working with inter-department teams and volunteer committees. Provide reports and statistics; maintain historical records. YOUR SKILLS AND EXPERTISE Bachelor's degree or equivalent work experience; a science or math based degree would be helpful. Five plus years of experience of project/program management experience with a focus research and organizing data - this role can entail very complex situations that require quick thinking and problem solving. Ability to analyze data and work within a scheduling system to organize engagements or events, including live and virtual events for speakers' presentation. This involves adjusting on a moment's notice, so must be able to work quickly and bring solutions while also sticking to the policies/rules. Non-profit experience is helpful, particularly experience working with committees and volunteers. Experience working with travel agencies and coordinating international travel is extremely helpful. Technology skills to include multiple software, systems and platforms that support various applications such as nomination tracking, logistics, scheduling, expenses, travel and virtual meetings (Zoom). Proficient with MSWord, Excel, PowerPoint and MS Teams. ADDITIONAL TALENTS FOR SUCCESS IN THIS ROLE Ability to juggle complicated multiple moving parts at any given moment while staying organized - strong planning skills are required. A background in logistics, scheduling or events coordination would be helpful. Excellent oral and written communication skills - will be assisting and communicating with industry respected professionals, as well as highly regarded committees and volunteers. Must be able to communicate respectfully and diplomatically when necessary to declined change requests due to policies. Strong degree of initiative ("can-do" attitude). Must be able to troubleshoot and make decisions quickly if needed without hesitation. Can think out of the box to come up with solutions to problems.
